Minutes of the Parents and Citizens Association
439th Meeting held at the School on
Monday 2nd June 2003
Meeting opened by the President Tim McDonald at 8.09pm.

Previous Minutes
It was resolved that the Minutes of the meeting held on 5th
May, 2003 be accepted.

Business Arising
Cola Drainage - A plumber has looked at the problem
and will be forwarding a quote. The Dept of Educ contractor, Pro
Group, will also be quoting on same. The problem is that water on
the raised walkway in front of the classrooms in the Admin Block
drain out of the wall onto the Cola.
Embankment - Aussie Yards attended the school and
looked at the problem. The problem with the embankment stems from
the run off water from the oval. The solution would be to place
Ag pipe along the top edge of the embankment on the garden side,
of the fence to be built. The embankment would then need intense
ground cover plantings in the new terraces. Awaiting quote. They
also suggested that we only target pocket problems. Fence has been
approved.
Treasurer's Report
Written report circulated. Grahame Woods spoke to same.
Tim McDonald said that is there is going to be a delay in spending
the money; we may look at putting it in a term deposit to get some
interest. Ken Dixon will look into the options. Receipts received
for canteen works, which came in under budget.
It was resolved that the report, payments and receipts be accepted.

Committee Reports
Book club
Stephanie Davison - Issue 3 was $1,540.00. Issue 4 went out today.
Due back by next Tuesday 10th June.
Canteen
Nil. Mrs Hanley said there are special promotion days coming up
and a charity day.
Clothing
Kathy Dixon - Canteen/Clothing repairs to counter are finished.
Many thanks to Gary & Gail Clayton for this work. Clothing sale
made $280.00. Tim asked if it is possible to get school raincoats.
Umbrellas are dangerous. Mrs Hanley to put a note in the newsletter
asking for raincoats. Some interest in sleeveless navy polar fleece
by students/parents.
Fundraising & Social
Mandy Bransgrove - Chocolate drive made $4,700.00 with only 2 boxes
outstanding. The two winning families (Croft & Orr) were today
given a box of goodies. Mothers Day made $850.00, with nearly all
bought items, sold. Lipsticks made $340.00. Dollars 4 Scholars -
we are about 11th. Upcoming - Fri 20/6/03 Harry Potter
Mufti Day (gold coin donation) which is instead of tea towels &
car rally. On the H.P. day there will be a cake stall 20-50c. Raffle
for H.P. book voucher from Mackay Books. Next term - Fathers Day
breakfast. Family Fun Day 20/9/03 11am to 4pm. S/H books are now
being collected.
Gardening
Robert Ramsay - Working Bee on 24/5/03. 7-8 parents attended from
Yrs 5&6, despite the rain. Drain was dug out near toilet block.
Removed soil from path. Hurdles are gone. Rubbish from around 3F
demountable removed, mulch & weeding. Oval is in a terrible
condition. Ag pipe will help but major upgrade is needed. School
is doing an O.H.S. overview this Friday. Can we get a quote for
oval repairs? Melissa Iredell moved a motion "That the P&C
obtain quotes to drain and upgrade the oval." In favour - all.

Letter from Cary Allen, Dept of Educ 20/5/03 re maintenance
costs of proposed A/C.

Federation of P&C - Handbook, Journal, Survey, Newsletter,
Asthma Friendly Schools Project.

In regard to the above letter from Cary Allen which stated "Should
an upgrade of the school's electrical supply be deemed necessary
to enable these units to be installed, it will be necessary for
the school &/or P&C to meet this cost & all future maintenance
of the air conditioning units." Mrs Hanley had spoken to Mr
Allen before & after this letter and has been assured that the
Dept will be upgrading the electrical system by the end of June
2003. The electrical supply is already overloaded due to the additional
demountables in the last year.
5. MOTIONS
a. "That A/C is the preferred cooling option for classrooms
and pending the electrical upgrade, that we cool as many classrooms
as possible up to the previous $23,000 limit and start from Year
6 rooms down."
Updating cost of A/C installation. Some parents from the School
community have come forward & offered to supply A/C at reduced
prices. Prices now are $2,700 per A/C unit (excl GST). Can we amend
the above motion to $25,000 as $23,000 only allows for 8 ½ units
(there are 9 classrooms). Tim said that the limit was set in a previous
motion and shouldn't be amended. Voting on motion unamended. For
the motion - All. Motion passed.
PRINCIPALS REPORT
Mrs Julie Hanley - School is considering ways of tracking student
progress. Looking at using the Progressive Achievement Tests designed
by ACER combined with current testing. A cost of approx $5.00 per
student per year would apply. Streamlining of Office procedures
- Will trial a term invoice in Term 3 - all expenses in one invoice.
Credit card payments unlikely - Ken Dixon will look into this. Thank
you to Geoff Casson & Phil Meyer for coaching Year 5&6 debating
teams. Thank to Margaret & Robert Ramsey for working bee, Mandy
re fundraising & Gary Clayton for Canteen/Clothing repairs.
Camp at Milson Island was a great success. Thanks to Teachers that
attended. Drama - Would like to offer these programs on a user pays
system. May look at an Arts focus next year. School doesn't have
the student numbers for a full time arts teacher. Open day 17/6/03
with Band & Kindergarten items.
GENERAL BUSINESS

8. Motions to be debated
"That we agree to A/C the remaining classrooms by September
2004."
Gary Clayton proposed an amendment to "That we agree to A/C
the remaining classrooms up to $15,000 by Sept 2004." Seconded
Ken Dixon. Accepted.
Melissa Iredell - we should also do the Admin & Staffrooms.
Quotes suggested the cost would be $6 - 8,000 (ducted). Hall $6,000.
Total $15,000. Procedural motion "In the event that the Education
Dept funds the electrical upgrade, we look at air conditioning the
Admin Block." This motion will be discussed and debated at
the next meeting.
