Minutes of the Parents and Citizens Association
440th Meeting held at the School on
Monday 4th August 2003

Meeting opened by the President Tim McDonald at 8.10pm.

In Attendance As per attendance register (16 parents & 3 teachers (Mrs Hanley, Mr Trevena & Mr Osborne)

Previous Minutes
It was resolved that the Minutes of the meeting held on 2nd June, 2003 be accepted.

Business Arising
Cola Drainage - Quotes not received from either Plumber or Pro Group.

Embankment - Aussie Yards quote received today. McVeity's are requoting. Robert Ramsay is chasing a third quote.
Aussie Yards quotes:-
Stage 1 $ 8,800 (oval edge to end of toilet block)
Stage 2 $12,500 (end of toilet block to existing terraces.
Stage 3 $25,000 (Oval drainage & resurfacing). We will await all quotes before making a decision.

Treasurer's Report
Written report circulated. Grahame Woods spoke to same. Insurance received for period 1/8/03 to 31/7/04 $750 approx (includes $332 Affiliation fee which is compulsory, $10m Public Liability, P&A & Death/Disability re Voluntary workers). Grahame will arrange payment of same asap.
It was resolved that the report, payments and receipts be accepted.

Committee Reports
Book club
Stephanie Davison - Issue 4 was $1,600.00. Issue 5 came in today.

Canteen
Vickie - Canteen going well. Year 6 volunteers starting tomorrow. Peggy Gum did the books. There is a $2,000 profit from Term 4 2002 & Term 1 2003. In September 2003 will be applying for Diamond accreditation. Canteen alterations are great. Gary Clayton will put a clip on the flap for safety. Ice-cream freezer was unplugged. Canteen has insurance for spoilage. Names of parent volunteers will appear in the newsletter from next to remind people. 10% of takings on Enviro promotion day raised approx $55.00 which was donated to EHPS Enviro club run by Mr Thomson.

Kathy Dixon - Nil


Fundraising & Social
Mandy Bransgrove - Athletics Carnival - Year 1 ran the day and made $1,000 profit. Special thanks to Y1 class mums. Fathers Day breakfast - offer from Ray White Real Estate $200. If more than 30 Dads come they will donate an extra $20 per Dad. Cost will be $4 per child & $5 Adults. Their will be fun things to do such as footy throwing competition. Grandads/uncles etc most welcome. Times 7-8am & 8-9am. Family Fun Day - 20/9/03. Donations received & sponsorship from Bruce Lyon of $750. Need more support to run School stalls - will advertise in newsletter.

Gardening
Robert Ramsay - Working Bee on shortly - 24/8/04? Stephanie raised question of chairs under cola which had been discussed previously. Robert has been advised that there are safety aspects regarding the slope behind the chairs i.e. kids climbing on top of seats and falling down slope.

5. MOTIONS (to be voted on)
"That we agree to A/C the remaining classrooms up to $15,000 by Sept 2004."
Motion voted on and all were in favour.

PRINCIPALS REPORT
Mrs Julie Hanley - Telstra Dolphins day was a success. Stewart House raised $600. Book Character Mufti went well, their has been Debating, Multicultural speaking day, Life Education, Japanese Day, Science & Environmental day, Athletics carnival. City to Surf team have been training & the Mums team. Open Day - 65 prospective families attended. Fence has been installed. School Evaluation Committee has been formed. New General Assistant is great. Drama started week 1 - a few children have been chosen from each class by the teachers, to attend. Creative Arts is in the annual evaluation report. Will try to do C.A. next year. Great response to Term invoice.

GENERAL BUSINESS
Melissa Iredell - asked if P&C could reimburse School $50 for photocopying etc. There is $1200 budgeted for P&C Misc expenses. All agreed. Melissa asked if there is a P&C Letterhead. Yes, Donna will email to Exec with ABN 12 138 871 954 to be included.

8. Motions to be debated
"In the event that the Education Dept funds the electrical upgrade, we look at air conditioning the Admin Block." Motion discussed but decided we would abandon this motion for the time, as funds that could have paid for this had to be spent on the electrical upgrade. Melissa asked if we could look at this again next year.


Playground soft fall renewal was broached. Julie Hanley will look into costs.
