Minutes of the Parents and Citizens Association
445th Meeting held at the School on
Monday 1st March 2004



Meeting opened by the President Melissa Iredell at 8.05pm.

In Attendance as per attendance registers (24 parents & 8 teachers & staff (Mrs Hanley, Mr Trevena, Mrs Jarvis & Mr Osborne & as per register)

Previous Minutes

It was resolved that the Minutes of the meeting held on 9th February, 2004 be accepted. Moved by Jeff Schembri, Seconded by Jon Iredell.

Business Arising

Community Relations Committee – Julie advised that Karen Yates is the Convenor of the committee. On Wednesday the committee will be hosting a Library meeting and catering for same. This committee organises Anzac Day Service, Open Day, Orientation, 1st day of School for Kindergarten children and other events. The people on this committee do a lot of work for the school, and their profile will be raised by being part of the P&C. They would welcome more members.

Book club

Stephanie Davison – Issue 1 $1,600. Issue 2 will go out tomorrow.

Canteen

Vickie Rollo – Roster is filling up but still more needed.

 

Clothing

Leanne Dries - $3,000 sales so far this year.  Out of small jackets & sloppy joes.  Skort - Lots of enquires received from parents wanting to buy this.

Fundraising & Social

Kathy Dixon - Absent as unwell.  They have had an initial meeting and will put a report in P&C newsletter.

Gardening

Jon Iredell - Working Bee on Sat 21/3/04.

Safety House

Veronica Casson- Still waiting for Eastwood Police to designate Veronica & Margaret as designated Safety House officers.  Julie Hanley stated that Safety House is very important.  The Dist Super has forwarded two emails to Julie regarding two separate incidents that occurred at Waitara Public School.  Veronica & Margaret will proceed with walk to local safety houses if the police have still not contacted them soon.  Donna asked if maybe a letter from Julie to the Police may help.

 Treasurer's Report

Written report circulated for Jan 04 compiled by Terry Liddicoat.  Bill Harris spoke to same.  Bill presented the cheque to Julie Hanley for the requested $20,000 contribution (For Music, Literacy, Maths & Technology) Voluntary Contributions - we have received money from 158 families (67%).  Last year we received money from 77%, but money was received all through the year.   Moved by, Seconded by.????????????????

A/C quotes from Scott McGoogan - Japanese Room $3,020 incl gst.

Admin Block $8,580 incl gst (plus electrical extras of $600). 

Hall approx $6,000 but would need electrical upgrade which could cost from $2,000 to $4,000.

Lights for path out of School - $362.00 plus gst.

Cola floodlight $731.00 plus gst

Insurance for children.

Benelong Institute letter re political issue meetings.

Anne Parfett (ESL Teacher) thanking P&C for welcome letter.  A new Multicultural Committee has been formed.  Booklet will be translated into Korean and Chinese.  District Education office can help with printing of booklets.  We can also apply for community participation grants next year.  Ralph Graham who built and updates the school website is a member of Community Relations Committee.

Letter from Chris Coates re new members joining at a meeting & voting at same meeting.  Melissa noted that this ruling as advertised was fair & reasonable and there is nothing in the constitution or by laws not allowing this.  The P&C Federation do not share this view and strongly recommend against this.  It was decided that people who have paid tonight cannot vote on the motions tabled at this meeting.

PRINCIPALS REPORT

Mrs Julie Hanley - School Management Plan - given to Melissa Iredell.  This plan reflects targets in the Annual School Report.  Assessment & Reporting - There has been talk from the Govt of standardising these.  Julie has decided to make some minor changes and will wait before making further changes until the Govt has decided what they are going to do.  Term 2 report will be simplified with a greater emphasis on Maths & English. Social Development profile & comments for Maths & English will be included and accompany the Term 2 Portfolio.   More time allocated for Parent/Teacher interviews.  Term 3 Student led Reporting.  The Term 4 report will be more detailed covering all Key Learning Areas with emphasis placed on reporting in Maths & English.

Traffic - Eastwood Police came out to School last week.  With the current street signage, there is not a lot they could do.  They recommended that no stopping signs be placed on corner of Wycombe & Kent Sts.  To get signage would probably need a Traffic Committee.

Apex has forwarded a letter regarding signs they are funding, asking motorists to slow down around schools as "Kids don't bounce".

 

MOTIONS

Discussions took place as to whether we should vote tonight or wait until next meeting so all members who joined tonight could vote.  It was decided that the vote would take place tonight, with only members voting that were financial previous to tonight.  The following motion was voted on. "The P&C provide up to $3,500 for the installation of a reverse cycle air-conditioner for the Japanese classroom." There were eleven members for and one member against the motion.  The motion was passed.

 

Melissa Iredell split the following motion into two:-

  1. "The P&C provide up to $9,000 for the installation of reverse cycle ducted air-conditioning to the staff and administration block (staff room, offices/photocopying room & sick room).  This motion was voted on and there were ten members for and two against the motion.  The motion was passed.
  2. "The P&C undertake to gain quotes for self-closing entry doors to the administration block."    Quotes are still forthcoming.  Doors can possibly be upgraded.

 

GENERAL BUSINESS

  1. Website links - The School website has been updated with various links.
  2. Constitution Translations - Mira happy to do this.  (Donna to check P&C Federation website to see if they already have translations).
  3. Mowers - Melissa has received two tenders.  Bill Harris advised that a tendering process would be a good way of proceeding.  Will place adverts in local paper and school newsletter.  Inspection date 21/3/04 2-5pm and possibly following Saturday when Elections are held at School.  Closing date for submissions Monday 29th March 2004.   Moved by Bill Harris and seconded Jon Iredell.  Motion passed.
  4. Sub Committee for New Hall/OOSH Building - Parents who are willing to join this committee if P&C wishes to look into this spending option are Bill Harris, Terry Liddicoat, Vickie Rollo and Stephanie Davison.
  5. Traffic Committee - Karen Grozier and Donna Collier are willing to be on this committee.

 

MOTIONS

Skort - Motion was debated and changed to read "The P&C endorses the inclusion of the exhibited skort as part of the girl's school uniform."  Eleven members for, one against and 2 abstained from voting.  It was decided by the members that this motion would be voted on tonight.  There were fourteen members for the motion and none against.  Motion passed.

Next Meeting          Monday 5th April, 2004   8.00pm in School Hall.
